POSITION TITLE: Legal and Government Affairs Executive Assistant

CLASSIFICATION: Non-Exempt

BASIC FUNCTION: To provide administrative support to the Government Affairs and Legal Affairs Departments. Provide administrative and logistical support to Deputy Executive Director, Managing Director of Legal Affairs, and Legal Team. This position requires a high level of professionalism, organization, attention to detail, accuracy, confidentiality, diplomacy, and dependability.

SPECIFIC RESPONSIBILITIES:

  • Prepare and disseminate correspondence for Deputy Executive Director, Managing Director of Legal Affairs and Legal Department.
  • Coordinate legal team meetings, including logistics and materials.

Government Affairs:

  • Prepare and disseminate advocacy correspondence for Deputy Executive Director.
  • Assist in creating and maintaining correspondence, minutes and reports related to advocacy efforts.
  • Input legislative information into Engage database, execute grassroots campaigns through Engage, and produce reports.
  • Coordinate Grassroots Advocacy Team (GAT) appointment materials. Update GAT application packet as needed. Send packets to interested members. Work with candidates to be interviewed, schedule candidate interviews, prepare interview materials for the Grassroots Advocacy Task Force.
  • Assist in coordinating lobby trips to Sacramento. Prepare, organize and disseminate training and lobbying materials to participants in a timely manner.
  • Assist in coordinating lobby trips to Washington, D.C. Prepare, organize and disseminate training and lobbying materials to participants in a timely manner.
  • Help to maintain and keep active, Legislative Action Page.
  • Perform other duties as assigned.

Legal Affairs:

  • Work with Deputy Executive Director, Managing Director of Legal Affairs, and legal staff to disseminate all legal correspondence.
  • Work with Managing Director of Legal Affairs to update the legal compendium manual for CAMFT’s online learning library.
  • Research managed care organizations in the State. Develop and maintain a managed health care directory of managed care companies. Whenever possible, arrange for the Executive Director, Deputy Executive Director, or Legal Staff to correspond with third-party payers who do not accept MFTs.
  • Perform other duties as assigned.

Committee Work:

  • Work with Deputy Executive Director, incoming president of the CAMFT Board, and staff on annual appointments to CAMFT committees. Produce correspondence to members of the various CAMFT Committees asking for service or thanking members for prior service.
  • Input all committee information into Euclid Association Management System, create committee groups in the CAMFT Community, and maintain rosters.
  • Collect signed Committee Participation Agreement, Chair Participation Agreement, Confidentiality Agreement, Consent of Electronic Transmission, Conflict of Interest and Anti-Trust Compliance policies each year from Committee members.
  • Work with Deputy Executive Director or legal staff to schedule all committee meetings. Prepare, organize, and disseminate materials in a timely manner.
  • Maintain accurate records and files for all Committees.
  • Arrange catering within budget for in-person Committee meetings and departmental meetings.
  • Work with staff attorney to send correspondence related to Ethics Committee cases, and to organize, prepare, and distribute quarterly Ethics Committee meeting materials. Maintain confidentiality of ethical complaint materials.
  • Perform other duties as assigned.

Internal Relationships:
Reports to the Deputy Executive Director. Works closely with Executive Director, Deputy Executive Director, Managing Director of Legal Affairs, and legal staff. Frequent contact with other members of staff. Communicates regularly with Committee members.

External Relationships:
Responds to member inquiries regarding various issues.

Qualifications:

  • Bachelor’s degree from a college or university or equivalent job experience.
  • Excellent organizational and written communication skills, with attention to detail.
  • Experience in managing multiple projects from multiple staff.
  • Excellent computer skills, specifically: Windows and Microsoft Office, including PowerPoint. Knowledge of Association database is a plus.
  • Ability to maintain confidential materials.
  • Experience in working with Committees (i.e. volunteer leaders).

COMPENSATION:
$42,000 - $47,000, commensurate with experience.
This position is classified as non-exempt.
