CAMFT Paid and Invited Presenter Reimbursement Policy

Date: October 23, 2001

Effective: January 6, 2002
Revised: March 6, 2004
Revised: June 12, 2010
Revised: September 22, 2013

The policy for expense reimbursement for paid and invited presenters at CAMFT workshops and Annual Conferences follows:

  1. Transportation—lowest airfare available or the automobile mileage reimbursement permitted by IRS, whichever is lower and/or most reasonable means of travel.
  2. Ground transportation—lowest and most reasonable means of ground transportation (e.g., generally this will be shuttle service, unless more than one person is being transported where it may be more cost effective to take a taxi.)
  3. Hotel expenses (room and tax only) will be borne by CAMFT for the night before the presentation; incidental charges will be borne by the presenter. Hotel expenses may be borne by CAMFT for the night following the presentation if travel arrangements are unavailable.
  4. Meals will be reimbursed to presenters when accompanied by receipts when consumed during necessary travel and presentation days. Reimbursement for meals will be negotiated by the Education and Event Coordinator but not exceed $75 per day as needed for negotiation purposes and will be bound by the Presenter's written agreement.
  5. Other expenses may be reimbursed as long as necessary and reasonable, including, but not limited to: long-term airport parking (no short-term parking, with the exception of same day travel and presentation), bridge and road tolls, etc.

All requests for reimbursement must be in writing and submitted within the time-frame indicated in the presenter's written agreement with CAMFT. Requests for reimbursement that exceed the limits of this policy must be in writing and approved prior to the event by the CAMFT Chief Executive Officer. No request for reimbursement or presenter payments shall be approved after 45 days from the date of the presentation.

All printing, production, mailing, typing, etc., shall be managed by the CAMFT administrative office.
